Job Description

Our client seeks a Human Resources Coordinator to join our dedicated HR team. This onsite role in RYE, NEW YORK, will be the primary point of contact for all benefits and payroll-related matters, ensuring smooth HR operations and employee satisfaction.

Key Responsibilities:

As a Human Resources Coordinator , you will collaborate with the HR team and external partners to:

Payroll Management :

  • Work directly with the 3rd party payroll provider to manage the bi-weekly payroll process, ensuring accurate preparation, documentation, and timely distribution of payroll, taxes, and benefits payments.

Benefits Administration :

  • Support various benefits programs, including health (medical, dental, vision), life insurance, disability coverage, and the 401(k) plan.
  • Ensure compliance with benefits regulations by partnering with brokers and third parties to manage 5500 filings, ACA reporting, plan amendments, and annual non-discrimination testing.

HR Information Systems (HRIS) :

  • Maintain and update the HRIS, resolve employee login issues, and assist with system audits.

Audits & Compliance :

  • Coordinate responses for internal and external audits, including SOX, Worker’s Comp, and 401(k) audits.
  • Work with legal counsel to fulfill annual reporting requirements such as the Affirmative Action Plan (AAP) and EEO-1.

Talent Management :

  • Assist in recruitment by posting job descriptions, managing requisitions, drafting offer letters, and conducting background checks.
  • Support the performance review process by ensuring timely completion of mid-year and annual evaluations.

Onboarding & Offboarding :

  • Manage onboarding new employees, ensuring all documentation is collected, HRIS records are updated, and compliance requirements (I-9 forms, E-Verify) are met.
  • Oversee employee offboarding, ensuring smooth transitions.

Employee Engagement :

  • Organize logistics, communication, and materials for the summer internship program.
  • Manage employee files and handle various HR projects, such as benefits comparisons, training tracking, and volunteer program coordination.

Data & Reporting :

  • Pull ad hoc reports for data analysis and interpretation as needed.
