Job Description

The Resource Development & Community Outreach Coordinator has numerous responsibilities related to department organizational efficiencies in the task areas of Database Management, Donor base file/contact management, donations process management with acknowledgements and credit card and financial processing and reporting. They are the point person for the care and effective use of the organization’s Community Volunteer Services Program. They participate in donor/membership relations/cultivation, primarily for recurring monthly donors driven from appeals and community sponsorships and outreach. The person will also serve in a support and on-site operational role for planning and executing department events.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

• Facilitate, execute, and document event operations as On-Site Assistant Coordinator for seminars, organizations, committees, and community involvement.
• Develop and execute volunteer programs aimed at engaging individuals and organizations, while promoting the organization’s mission.
• Oversee all aspects of volunteer engagement, including credentialing, background checks, publicity strategies, liability, supervision, retention, and intake/distribution processes.
• Coordinate and supervise employee volunteers at major events, when applicable.
• Manage appeals, membership campaigns, and community recurring monthly donors, focusing on relationship management and recruitment.
• Lead prospecting, scheduling, cultivating, and fundraising efforts, including acknowledgments and thank-you communications for community supporters, one-time donors, and recurring contributors.
• Sell community sponsorships for events, including outside sales, prospecting, and reporting for sponsorships under $500.
• Manage appeals and direct mail campaigns for community support and revenue generation.

ADDITIONAL DUTIES AND RESPONSIBILITIES (Non-essential)

• Adhere to the designated dress code as stipulated for the specific role.
• Provide department staff with accurate, up-to-date donor reports, including weekly new donor reports, key performance indicators, monthly cash flow, and monthly donor moves management reporting.
• Review data, identify trends, and provide actionable recommendations.
• Execute impactful volunteer programs to engage individuals and organizations, promoting the organization’s mission.
• Coordinate all aspects of volunteer engagement, including credentialing, background checks, publicity strategies, liability, supervision, retention, and intake/distribution processes.
• Arrange and supervise volunteer training, ensuring evaluation in partnership with service site supervisors.
• Cultivate and develop new relationships with individuals, schools, and organizations to increase exposure and understanding of Volunteers of America Southeast Louisiana within the community.
• Participate in community education activities, such as point-of-entry tours, to share the organization’s mission and programs.
• Monitor and evaluate the efficiency and effectiveness of the Volunteer Services department.
• Maintain a volunteer database and prepare reports on volunteer hours, making recommendations for necessary adjustments to the program.
• Keep a list of working partnership agencies and contacts.
• Manage budgets and resources, including the reimbursement of expenses.
• Participate in fundraising and other agency activities as needed.
• Complete additional tasks and projects as assigned.

• None

KEY CONTACTS

• Develop working relationships with other members of the Resource Development and Marketing Team to foster a collaborative spirit.
• Maintain continuous communication with the Development Director, Department Vice President, and Executive Management Team when necessary.
• Establish effective working relationships with the Agency’s Programs, Accounting, and HR departments.

KNOWLEDGE, SKILLS AND ABILITIES:

This position requires knowledge, skills and abilities equivalent to:

• Bachelor’s degree
• Experience as an Event Planner
• Experience as a Fundraising or Member/Donations Department including Relationship Management
• Organizational Management experience.
• Ability to accurately maintain departmental files, records and databases
• Organization skills and high attention to details are necessary
• Additionally, they must have proven years of experience working in Microsoft Word and Excel, as well as database management
• Solid professional dress, verbal and written communication and presentation skills
• Ability to utilize research tools to gather necessary information in a timely and effective manner and to utilize information gathered to create suggested guidelines based upon lessons learned/best practices

Must Have:

• Current driver’s license issued by state of residence
• Current vehicle registration, inspection, and insurance coverage
• Satisfactory Motor Vehicle Report
• Must be able to pass a criminal history investigation.

PHYSICAL REQUIREMENTS:
