ABOUT THE POSITION

Assists the Procurement, Supply Chain, EHS, and HR, leadership teams with the day-to-day functions of efficiently managing the departments. Functions as a key contributor in ensuring the business support for the departments and helps the departments reach its strategic goals.

Deliverables & Responsibilities

Support Procurement & Supply Chain leadership teams including:

  • Responsible for managing the Oracle requisition and purchase order process for the corporate entity in support of purchase order policy.
  • Includes managing requisitions, assigning, and creating purchase orders, purchase order maintenance, new supplier requests, and supplier information maintenance.
  • Key contact with Accounts Payable on invoice discrepancies and resolution.
  • Fleet Administrator Management. Maintain and process fleet transactions including registrations, tolls, vehicle reassignments, repairs, accidents, and all other support needed for Fleet Policy. Supports the facilitation with the fleet management company
  • Supports tracking and retention of Logistics Carriers documentation
  • Performs other duties and support as assigned.

Support EHS Leadership Team including:

  • Administrator for Velocity EHS Incident Tracking System to include access, training, reports, monthly workhours, dashboard maintenance, and balancing month end workhours with EPM/Oracle HCM, and Safety Scorecard
  • Identify and analyze Recordables by body part and type.
  • Support 8D Investigation to determine root cause(s) and actions to prevent recurrences.
  • Unsafe Work Observation Abatement Process. Pull weekly reports from Velocity and issue to sites. Identify, analyze, and review trends with Director EHS
  • Create month end report to show percentage abated in 24 hours, which consist of a validation and audit prior to distribution.
  • Support Director EHS with implementation of OneASTEC Safety Management Program (policies, procedures, training, and testing.), Annual Safety Awards, EHS Annual Proxy, and 10K
  • Maintain OSHA logs for Corporate and Aviation
  • Performs other duties and support as assigned.
  • Corporate Document Control Administrator working collaboratively to standardize forms, procedures, and practices using the BMS System. Support SOP and Policy development as required.

Support Director HR, with coordination of candidate interview scheduling and travel arrangements as required.

  • Facilitates and administers company personnel exits in business systems / shipping labels for equipment retrieval.
  • Assist with employee engagement activities.

Business Support including:

  • Assists in planning and supporting meetings and conferences for departments, customers, and suppliers.
  • Concur administrative duties included.
  • Work directly with vendors, and other Astec departments as required.
  • Site Order and stock supplies, door attendee, and building upkeep coordinator.
  • Daily management and distribution of incoming/outgoing mail, packages, including scheduling package pickups.
  • Attends department and company meetings as required, acting on behalf of the department leadership team when directed to do so.
  • Always follows company policies and procedures.
  • Always follows proper safety rules and procedures.
  • Performs other duties and support as assigned.

To be successful in this role, your experience and competencies are:

  • Minimum 3 years of experience as an assistant or support in related field required.
  • Exceptional telephone etiquette and presence is required.
  • Minimum 5 years of experience and proficiency with the following: Microsoft Suite including Word, Excel, PowerPoint, and Power BI including report presentation, building worksheets.
  • Must be proficient with SharePoint.
  • Ability to work under pressure required.
  • 2 or 4-year college degree preferred.
  • Attention to detail required.
  • Strong interpersonal people skills and communication skills are required.
  • Must be highly self-motivated.
  • Experience working in a team-oriented, collaborative environment is required.
  • Must be able to organize and manage multiple projects and priorities.

Office

While performing the duties of this job, the employee is regularly exposed to risk of injury in an office environment and occasionally a manufacturing shop plant environment.
